A conference succeeds when ideas are easy to share and effortless to follow. Every microphone, screen and presentation cue has a role in helping speakers communicate clearly while keeping delegates focused on the content.

02 — The Detail

Confidence for every speaker

Walking onto a conference stage can be daunting, even for an experienced presenter. The technology around them should provide reassurance rather than another thing to think about.

We can provide confidence monitors, presenter controls, countdown displays, comfort audio and clearly positioned stage screens. Speakers know where to stand, what the audience can see and how much time remains, allowing them to concentrate on delivering their session.

Presentations kept under control

Conference programmes often involve dozens of slide decks arriving in different formats, through different people and sometimes only minutes before a session begins.

Our presentation team can collect, organise and review files before they reach the stage. Fonts, videos, aspect ratios and embedded content are checked, with the correct version loaded and ready in running order. Updates can still can still be accommodated without turning every changeover into a scramble for the right laptop or USB drive.

Designed from the delegate’s seat

A stage can look impressive from the control desk while leaving parts of the audience struggling to read a graph or hear a softly spoken panellist. We plan conference systems from the perspective of the people attending.

Screen dimensions, text legibility, camera coverage, speech reinforcement and restricted sightlines are considered across the seating plan. This helps delegates remain connected to the session whether they are seated in the first row, beneath a balcony or at the back of the room.

Plenary, breakout and everything between

Large conferences rarely stay in one space. Delegates may move between a main plenary, smaller workshops, panel rooms, networking areas and overflow spaces throughout the day.

We can equip each room according to its purpose while maintaining a consistent experience across the venue. Sessions can remain independent, or audio, video and presentations can be relayed between spaces when the programme requires them to work together.

Remote speakers who feel present

Joining a live conference remotely involves more than putting a video call on the main screen. The remote speaker needs to hear the room, see the relevant participants and follow what is happening without distracting delays or feedback.

We create dedicated contribution workflows with return video, carefully routed audio and technical support for the speaker before they join. This allows remote keynotes, interviews and panel members to take part naturally rather than feeling separate from the room.

A team that understands conference timing

Conference schedules are precise on paper but often change once the event begins. Sessions run over, speakers swap order and panels gain an unexpected participant.

Our technicians follow the agenda closely while remaining ready to adapt. Presentations, microphones, lighting and video are prepared for the next session in advance, helping changeovers remain polished even when the programme moves away from the original plan.

Conference AV needs to work around the programme, venue and speakers rather than being treated as a standard equipment package. Here are answers to some of the questions that can help shape the right approach.

What can you provide for a conference?

We can provide d&b audiotechnik sound systems, radio microphones, Absen LED walls, projection, televisions, confidence monitors, lecterns, presentation systems, cameras, recording, remote speaker facilities and technical crew. Each package is developed around the rooms, agenda and delegate experience.

What information do you need to prepare a proposal?

The venue, expected audience, room layouts, event dates and an outline agenda are the most useful starting points. Details such as the number of presenters, breakout sessions, remote speakers and recording requirements allow us to develop a more accurate technical plan.

Can you support a conference with several breakout rooms?

Yes. We can manage AV across a main plenary and multiple breakout spaces, with appropriate equipment and technicians allocated to each room. We can also distribute sessions to overflow areas or connect rooms when content needs to be shared.

How are speakers’ presentations managed?

Presentation files can be collected in advance or through a speaker preview area at the venue. Our team checks the files, places them in agenda order and loads them onto the show systems. Updated versions can be tracked carefully to ensure the correct slides reach the stage.

Can you provide technical rehearsals?

Yes. Rehearsal time can be scheduled for keynote speakers, hosts, panellists and remote contributors. This allows everyone to practise their entrance, check presentations, test microphones and become familiar with the stage before delegates enter.

Can conference sessions be recorded?

Yes. We can record individual presentations or the complete conference using cameras, presentation feeds and direct audio from the sound system. The recordings can be supplied for internal use, online viewing or further editing after the event.
